Privacy Policy

This Privacy Policy explains how ZiaKey ("ZiaKey", "we", "us", or "our") collects, uses, stores, and shares information when you use ziakey.com (including pages served from www.ziakey.com) and the ZiaKey web application at app.ziakey.com (together, the "Services").

1) Scope and relationship to other terms

This Policy applies to personal information processed in connection with the Services. It should be read together with our Terms of Use, which describe acceptable use, accounts, user-generated content, and related rules. If you contact us through a Contact page or email address we publish, we also process the information you send for that request.

2) Information we collect

The categories below depend on how you interact with us (browsing the Unified App Suite site, joining a waitlist, signing in to the app, or paying for offerings).

2a) Unified App Suite website (ziakey.com)

  • Technical and usage data from your browser: When you load pages or assets, our hosting infrastructure receives standard server log information such as IP address, user agent, request path, referrer (where sent by your browser), and timestamps. We use this information to operate, secure, and troubleshoot the site.
  • Waitlist email address: If you submit the "Join the waitlist" form on the home page, the site sends your email address to our server endpoint, which uses it to send you a confirmation-style message and to notify our team at info@ziakey.com that a new signup occurred. In the current implementation, that flow relies on a transactional email provider (see Section 5) and does not write your email to an application database in this repository; your address may still be retained by the email provider and in routine mailboxes or backups as described below.
  • Honeypot field: The waitlist form includes a hidden field intended to reduce automated spam. If that field is filled, the client-side script does not submit your signup.
  • Newsletter or other marketing forms: If we enable a separate newsletter signup in the site footer or elsewhere, the form may post directly to an email marketing platform. When that is active, the destination and any consent language on the form will identify the third party; that provider processes submissions under its own terms and privacy policy.

2b) Web application (app.ziakey.com)

When you create an account or use the unified app suite, we process information needed to run the product, secure accounts, and deliver features you choose to use. This commonly includes:

  • Account and profile information: For example, login identifiers, name or display name, and settings you provide.
  • Content you create or upload: Such as contacts, documents, messages, events, pages, files, images, and other materials you submit through the Services ("User Content"), consistent with the Terms of Use.
  • Communications: Messages you send through in-product channels, and communications you send to us (support, feedback, or legal notices).
  • Payment-related information: If you purchase a paid plan, our payment processor collects and processes card or wallet details. We typically receive limited billing metadata (for example, subscription status, last four digits, or transaction references), not full payment card numbers.
  • Technical and security data: Device and browser characteristics, approximate location derived from IP where useful for fraud prevention, authentication signals, diagnostics, and logs generated as you use the apps.

3) How we use information

We use personal information for purposes such as:

  • Providing, maintaining, and improving the Services and features you request.
  • Creating and administering accounts, authenticating users, and protecting against fraud, abuse, and security threats.
  • Sending service-related and transactional messages (for example, waitlist confirmations, account notices, or receipts).
  • Complying with law, responding to lawful requests, and enforcing our Terms of Use.
  • Analyzing reliability and performance in aggregate or de-identified form where appropriate.

4) How we store information

  • Our systems and hosting: Information is stored on servers and infrastructure we or our hosting providers operate. Retention periods vary by data type (for example, account records may be kept while your account is active and for a period afterward for legal, tax, or dispute resolution reasons).
  • Backups: Data may appear in encrypted or access-controlled backups for a limited time after deletion from primary systems.
  • Email systems: Messages sent to or from ZiaKey addresses (including provider-hosted mailboxes) may be retained according to normal email retention and security practices.

5) How we share information

We share personal information only as needed to operate the Services or as required by law.

  • Other service providers: We may use vendors for hosting, DNS, security, customer support tooling, analytics, product instrumentation, or payments. They may access information solely to perform services for us and are bound by confidentiality and processing terms consistent with this Policy.
  • Legal and safety: We may disclose information if we believe in good faith that disclosure is required by law, subpoena, or court order, or to protect the rights, safety, or property of ZiaKey, our users, or the public.
  • Business transfers: If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction, subject to standard confidentiality arrangements.

We do not sell your personal information and we do not share personal information with third parties.

6) International users

ZiaKey is based in the United States. If you access the Services from other countries, your information may be processed in the United States or other jurisdictions where we or our providers operate. Those countries may have different data protection rules than your home country. Where required, we use appropriate safeguards (such as standard contractual clauses) for cross-border transfers.

7) Security

We implement administrative, technical, and organizational measures designed to protect personal information, including HTTPS for the site configuration we publish and access controls on production systems. No method of transmission or storage is completely secure; we encourage strong passwords and careful protection of your login credentials.

8) Your choices and rights

  • Access, correction, deletion: Depending on your location, you may have the right to access, correct, or delete certain personal information. You can often update account details inside the app where account settings are available.

To exercise rights, contact us using the Contact link in the site footer or the contact method we publish for privacy requests. We may need to verify your identity before fulfilling certain requests.

9) Children

The Services are not directed to children under 13 (or the age required by your jurisdiction), and we do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us so we can delete it.

10) Third-party sites and the open app link

The Unified App Suite site may link to third-party websites or to app.ziakey.com. Third-party sites are governed by their own privacy policies. Opening the app may send technical data to that application origin as described in Section 2b.

11) Changes to this Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the "Last updated" date. If changes are material, we will take additional reasonable steps to notify you as appropriate.
